Architecture Profile. (Table of Contents)
The Architecture Profile defines the scope and establishes the backbone of the process. It identifies suppliers/inputs, customers/outputs, and the primary activities of the process. This allows the Process Owner to easily communicate on one page what work is taking place within the process.
Process Map. (The Contents)
The Process Map adds detail to the Architecture Profile, identifying workflow, tasks, improvement opportunities, responsibilities, and knowledge. The process map provides the “who”, “what”, “when”, “where”, and “why” of the process, and also points to the “how”. The map is developed with the full participation and cooperation of not only the process users but also subject matter experts, e.g. Quality, Information Technology, Human Resources, Compliance, Auditors, etc.
Matrices add the knowledge, standards and information detail utilized by Process Owners, process improvement professionals, compliance professionals and subject matter experts. Matrices allow process maps to stand alone, without the need for supporting material. They provide support to ensure that the process is followed consistently and all information is provided in a single source to train a new process user. The Perigon Playbook may contain over 30 matrices but typically includes the following matrices:
- Information: forms, task instructions, checklists, visual aids etc.
- Responsibilities: RACI.
- Metrics: process effectiveness and efficiency measures.
- Opportunities: process problems and opportunities for improvement.
